FAQ
Plain answers
to fair questions.
How far ahead should we book?
Six to nine months for a Saturday in May, June, September or October; three to four months for other dates. Three vans is a small fleet, so once a Saturday is held it’s held. Check your date and we’ll tell you honestly whether it’s open.
What does it cost?
Our Classic wedding package is $1,040 per van for five hours, with your driver’s gratuity and charging included. Tolls and parking are billed at cost, never marked up. Most couples book two or three vans. See Pricing for all three packages.
How much is the deposit, and what if we cancel?
A deposit holds your date, and your quote states the balance date and cancellation terms in plain language before you sign anything. If we ever cancel on you, you get a full refund and we find you a replacement.
What happens if the night runs long?
Your driver checks with your planner or point person before the package ends. Overtime is $192 per van-hour, gratuity included, in 30-minute increments, agreed on the spot and never a surprise on the invoice.
Can guests drink on the shuttle?
We’ll confirm our on-board policy with your quote. Either way, we’ll happily carry the champagne to the reception and keep water on board.
What if it rains or snows?
We run in rain and snow. If the state or county closes roads, we reschedule or refund in full. Our dispatcher watches the weather from the morning and adjusts pickup windows if the drive slows.
How many guests fit?
Up to 9 per van. Three vans on a 20-minute loop move about 81 guests an hour. Use the loop planner on the Weddings page to see how many vans your day needs; for bigger guest lists we add partner coaches under our dispatch.
Do you do the walkthrough?
Yes, for any booking of two or more vans, with you or your planner, usually two to four weeks out. We confirm staging spots, the hotel’s preferred pickup point and the last-call time.
How do guests know when the shuttle is coming?
They scan a QR card at the hotel or venue and see every stop and the next van’s ETA, no app needed. They can also opt in to a text when the van is five minutes out and a last-call text before the final loop.
What if a van breaks down?
A backup vehicle is staged within reach of your venue on every booking, and the dispatcher re-times the loop and texts your guests before most of them notice. Electric vans also have far fewer parts that fail.
Are you licensed and insured?
Yes. Shuttlebee Charter operates under Pennsylvania Public Utility Commission authority with commercial auto and general liability coverage. We send a certificate of insurance to your venue within one business day of the request.
Do you do airport runs?
No. We don’t hold Pennsylvania authority for airport service, so we don’t take airport trips. We’re glad to recommend a licensed livery operator for those.
Do you go to New Jersey or Delaware?
Not yet. We operate within Pennsylvania only for now, so every pickup and drop-off has to be in Pennsylvania. Out-of-state service is on our roadmap.
Can you handle guests with mobility needs?
Tell us at booking. We adjust the pickup window, seat those guests first, and set staging so the step is on the curb side. If a guest needs a lift or ramp, tell us early and we’ll confirm the right vehicle with your quote.
Is there a minimum?
Every booking is at least 3 hours per van, and we need at least 72 hours’ notice. Single-day bookings only for now; multi-day weekends are quoted day by day.
